Co-Labs · The back office
Your month’s figures are there, to the centime, ready for your accountant.
Eight screens read your business as it actually happened: appointments completed, money collected, each member of your team, each service. The sales journal comes out as a CSV, the VAT summary as a PDF, and your invoices follow on without a gap.
Two amounts, and you always know which one you are reading
Delivered, collected: two truths, side by side.
Delivered is your completed appointments, at the price sold. Collected is the money that has actually come in, till and shop together — the truth behind your VAT. A colour done on Monday and paid for on Friday is in both, on different dates: they stay side by side, never added together.
The same rigour everywhere: a margin without a purchase price stays blank, and a day still to come is not drawn.
Your eight screens, and the period you choose
Seven days, thirty days, this month, this quarter, twelve months or your own dates: the period carries across the seven detail screens; the overview always reads today, the week and the month. A curve can also be read as bars, a breakdown as a ring or a table, and every point gives up its value to the mouse, the finger or the keyboard.
- Overviewtoday, the week, the month, each compared with the period before, and your monthly target
- Turnoverthe two amounts, appointments by status and by channel, money collected by payment method and by rate
- Staffeach person’s figure at the price sold, commissions and targets, workload against the hours actually worked
- Clients and servicesnew clients, those who come back, the figure per service, cancellations and missed appointments
- Products, gift cards, subscriptionscounter and shop reconciled with stock, outstanding gift cards counted as a debt, the dates falling due soon
Your accountant finds what they expect
- Sales journala CSV that opens in Excel, one line per sale
- VAT summaryas a PDF, by payment method, VAT extracted to the centime
- Online shopits paid orders counted together with counter sales
- Periodthe month by default, or your own dates; a whole financial year comes out as it is
- Online paymentsa reconciliation of collected, refunded and pending, once your account is connected
Your invoices and your quotes follow on without a gap
Your seller details — company name, address, VAT number — are frozen on each document at the moment of issue: moving premises does not rewrite yesterday’s invoices. Below the VAT registration threshold, your quotes and your invoices come out at zero, like your till.
The invoice
Numbered by year, in order, even if two tills invoice in the same second. It is raised from the sale in a single action, opens as a PDF and goes out by email.
The quote
Numbered when you issue it: an abandoned draft leaves no gap. Firm price, approximate price or estimate, validity date, frozen text; your client accepts or declines from a link that binds only that version, every step written to the log.
Who sees your figures is for you to decide
The rank you give each person decides what she sees, on the screen and behind it. At the counter, where the session stays open all day, a code you set veils the figures; they close again by themselves after thirty minutes.
- Apprenticeher diary and her profile; team member — the client records as well; front desk — diary, till, stock, without the turnover
- Managerthe eight screens of figures
- Youthe accounting exports, the payment account, the monthly target, the code
What you are guaranteed
- Delivered and collected are never added together; nothing is inferred from a missing figure.
- An invoice number is never given twice, and the sequence never skips a number.
- What your client accepts on a quote is the exact text you sent her.
- Erasing a client’s data anonymises her record and leaves your documents complete; an accepted quote is kept for at least ten years after the financial year.
- Every promise on this page has its test.
What we will adjust with you
