You don’t type this record. The appointment taken by phone or on your site creates it, and fills it in at every visit. What you add — the formula, the processing time, an allergy — is written only once.
The fields of your trade, and the allergy that shows
A common core shared by every trade; then your fields, in your words.
Identity, contact details, language, birthday: this common core does not change from one trade to the next. Just below it, the record takes your words — colour formula and processing time at the salon, vehicle and number plate at the garage, animal and vaccination date at the vet’s, licence category at the driving school.
The allergy has its own line in the first block of the record, with its warning sign, and it is shown before you confirm an appointment placed from your diary.

Every visit stays, and you know which way she came in
The service, the date, with whom, at what price: every appointment goes into the history on her record, whether it came from your website, from Liah on the phone, from your Google listing or from your counter.
The door it came through is written on the appointment itself, not at the bottom of a table: “through the Google listing”, “through a shared link” — and you know what brings you business.

Two lists and the reminders of your trade are built on what the record already knows. Nothing to tick, nothing to copy across.
Those to follow up
No visit for eight weeks, the longest absent first. A follow-up email goes out after the delay you set, to those who said yes.
Upcoming birthdays
Over the next two weeks, among those who said yes to messages. The greeting goes out once a year at most.
The reminders of your trade
The practice’s six-month check-up goes out on its own; the cat’s vaccination or the contract’s renewal date, at your request. Each one is anchored to a date on the record or to the last visit, for those who said yes.
She keeps control of her data, you keep your notes
Her area with you, and with you alone.
Her account is with you. There she sees her appointments, cancels on her own, finds her orders, her invoices, her points and her referral code, corrects her contact details and her consent. To move an appointment, the link in her confirmation is enough.
Her screens show neither your notes, nor her formula, nor her address; she receives them in the copy of her data, the one the law owes her.
